Terms of Service

These Terms of Service ("Terms") are a legally binding agreement between you and Amirali Kalhor ("ProfFinder", "we", "us", or "our") regarding your access to and use of ProfFinder’s website, applications, professor discovery tools, AI-powered recommendations, resume/profile tools, email outreach features, and related services (the "Services").

ProfFinder is operated by Amirali Kalhor from California, United States.

By accessing or using ProfFinder, you agree to these Terms. If you do not agree, you must not use the Services.

1. What ProfFinder Does

ProfFinder helps students discover professors, research labs, academic opportunities, and potential outreach targets. The Services may include professor and lab discovery, AI-powered matching, research-interest matching, resume/CV analysis, academic profile building, outreach drafting and management, Gmail/Google integrations, reply tracking, and subscription-based features.

ProfFinder provides software tools only. ProfFinder is not a university, admissions office, scholarship provider, visa advisor, employer, recruiter, or representative of any professor, lab, institution, or academic program. ProfFinder does not guarantee admission, funding, scholarships, replies from professors, interviews, visa outcomes, research positions, employment, academic placement, the accuracy of professor information, or the success of any outreach message. You are responsible for verifying information and making your own decisions.

2. Eligibility

You must be at least 16 years old to use ProfFinder. By using the Services you represent that you are at least 16, have the legal capacity to agree to these Terms, will comply with these Terms and applicable laws, will provide accurate information, and will not use ProfFinder for unlawful, misleading, harmful, or abusive purposes. If you use ProfFinder on behalf of an organization, you represent that you have authority to bind it.

3. Your Account

You may need an account to use certain features. You are responsible for keeping your credentials secure, maintaining accurate account information, all activity under your account, not sharing or transferring your account, and notifying us immediately if you believe your account has been compromised. We may suspend or terminate your account if we believe you violated these Terms, created risk for ProfFinder or others, misused the Services, or used them unlawfully.

4. Google Login and Gmail Integration

ProfFinder may allow you to sign in with Google and connect Gmail or Google Workspace. If you connect Gmail, you authorize ProfFinder to access and use Gmail data only as necessary to provide the features you request (such as sending outreach on your behalf, tracking replies, reading inbox messages or threads related to outreach, displaying conversation status, and managing outreach-related communication).

You are responsible for all messages sent through your connected Gmail account. ProfFinder will not intentionally send outreach on your behalf unless you request or approve the action through the Services. You may disconnect Google/Gmail access at any time. Your use of Google services is also governed by Google’s own terms and policies.

5. Outreach and Email Responsibilities

ProfFinder may help you draft, send, organize, or track academic outreach. You are responsible for reviewing and approving all outreach content before sending. You agree that you will not use ProfFinder to:

  • Send spam or mass unsolicited messages
  • Harass professors, students, universities, or others
  • Send misleading, deceptive, or false messages
  • Pretend to have read a paper, met a person, received a referral, or had a relationship that is not true
  • Misrepresent your identity, qualifications, academic history, or intentions
  • Violate email, anti-spam, privacy, or communication laws
  • Contact people who have asked not to be contacted
  • Circumvent sending limits, safety limits, or abuse-prevention systems

We may limit, pause, review, restrict, or disable outreach features if we believe they are being misused.

6. AI Features and Automated Recommendations

ProfFinder uses AI and machine learning to support discovery, matching, resume/profile analysis, recommendations, summaries, and outreach drafting. AI-generated outputs may be inaccurate, incomplete, outdated, biased, or misleading; you should carefully review all AI-generated content before relying on it or sending it. These outputs are informational and assistive only and are not professional, academic, legal, immigration, financial, or admissions advice. ProfFinder does not make official decisions about admission, funding, hiring, scholarships, visas, research opportunities, or academic placement.

7. Professor and Public Academic Information

ProfFinder may display information about professors, labs, universities, departments, publications, research areas, public emails, and academic opportunities based on publicly available sources. This information may be incomplete, outdated, incorrect, or changed by the original source, and you are responsible for verifying important information from official sources before relying on it. Professors, researchers, institutions, or authorized representatives may request correction or removal of public professor information by contacting support@proffinder.app.

8. Subscriptions, Payments, and Billing

ProfFinder may offer free and paid plans. If you purchase a paid plan, you agree to pay all applicable fees, taxes, and charges, processed by Stripe or another provider, and you authorize the provider to charge your payment method for the selected plan.

Auto-renewal

Subscription plans may automatically renew unless you cancel before the renewal date. Deleting your ProfFinder account may not automatically cancel a subscription managed by a third-party provider; you are responsible for canceling through the billing settings when applicable.

Cancellation & refunds

You may cancel through your account settings or by contacting support; unless otherwise stated, cancellation takes effect at the end of the current billing period. Unless required by law or stated otherwise at purchase, payments are non-refundable and we do not provide refunds or credits for partially used billing periods. We may make exceptions at our discretion.

Price changes

We may change pricing or plan features from time to time. If required by law, we will provide notice before material pricing changes take effect.

9. Your Content

“Your Content” means information, files, documents, resumes, CVs, messages, preferences, academic history, research interests, profile details, feedback, and other content you provide to ProfFinder. You retain ownership of Your Content.

By submitting Your Content, you grant ProfFinder a limited, worldwide, non-exclusive, royalty-free license to host, store, process, analyze, display, modify, and transmit Your Content only as necessary to provide the Services, generate recommendations, analyze resumes/profiles, draft or manage outreach, improve and personalize your experience, provide support, maintain security, comply with law, and enforce these Terms. You represent that you have the necessary rights to upload Your Content and are responsible for ensuring it is accurate, lawful, and does not violate anyone else’s rights.

10. Intellectual Property

ProfFinder and its licensors own all rights in the Services, including software, source code, databases, designs, interfaces, algorithms, models, logos, trademarks, and materials. Subject to these Terms, we grant you a limited, non-exclusive, non-transferable, revocable license to use ProfFinder for your personal academic or internal educational purposes.

You may not copy, sell, resell, rent, sublicense, or commercially exploit the Services; reverse engineer or extract source code; scrape or systematically collect data without written permission; copy or recreate ProfFinder’s professor database, matching, ranking, or interface; remove proprietary notices; or use ProfFinder’s name, logo, or branding without permission. All rights not expressly granted are reserved.

11. Acceptable Use

You agree not to use ProfFinder to break any law; violate privacy, publicity, IP, or other rights; upload false, harmful, illegal, or infringing content; harass or harm others; send spam, phishing, or deceptive messages; impersonate or misrepresent yourself; upload malware; interfere with the Services; attempt unauthorized access; use bots or scrapers without permission; bypass safety, rate-limit, subscription, or access controls; build a competing product or database; use professor information for harassment, spam, resale, or unrelated commercial purposes; or create legal, security, or reputational risk for ProfFinder or others. We may investigate and take action if we believe you violated this section.

12. Third-Party Services & Privacy

ProfFinder may integrate with or link to third-party services, including Google, Gmail, Stripe, AI providers, cloud providers, universities, professor pages, and publication databases. Your use of third-party services is governed by their own terms and privacy policies, and ProfFinder is not responsible for them. If a third-party service becomes unavailable or changes its terms, some ProfFinder features may stop working.

Our Privacy Policy (https://proffinder.app/privacy) explains how we collect, use, store, and share information. By using ProfFinder, you agree that we may process information as described there.

13. Service Availability, Beta & No Advice

We may modify, suspend, discontinue, limit, or remove parts of the Services at any time, and we do not guarantee that the Services will always be available, uninterrupted, secure, error-free, or accurate. Some features may be experimental or beta and may be incomplete, unstable, or changed without notice; you use them at your own risk. Information provided by ProfFinder is for general informational and assistive purposes only and is not legal, immigration, financial, mental-health, professional-admissions, or official academic advice — consult qualified professionals or official institutions for important decisions.

14. Disclaimer of Warranties

To the fullest extent permitted by law, ProfFinder is provided on an “as is” and “as available” basis. We disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, title, non-infringement, accuracy, availability, and reliability. We do not warrant that ProfFinder will meet your expectations, that professor information or AI outputs will be accurate or current, that outreach will receive replies, that you will receive admission or opportunities, or that the Services will be uninterrupted, secure, or error-free. Your use of ProfFinder is at your own risk.

15. Limitation of Liability

To the fullest extent permitted by law, ProfFinder and its owners, operators, affiliates, service providers, contractors, employees, and agents will not be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages, including loss of data, profits, opportunities, goodwill, or academic or reputational harm, arising from your use of or inability to use the Services. ProfFinder’s total liability for any claim relating to the Services will not exceed the greater of the amount you paid to ProfFinder in the three months before the claim arose, or one hundred U.S. dollars. Some jurisdictions do not allow certain limitations, so some may not apply to you.

16. Indemnification

You agree to defend, indemnify, and hold harmless ProfFinder and its owners, operators, affiliates, service providers, contractors, employees, and agents from any claims, damages, losses, liabilities, costs, and expenses (including reasonable attorneys’ fees) arising from your use of the Services, Your Content, your outreach messages, your violation of these Terms or any law, your violation of another person’s rights, your misuse of professor/university/user information, or any message sent through your connected Gmail or email account.

17. Termination & Account Deletion

You may stop using ProfFinder at any time. We may suspend or terminate your access if we believe you violated these Terms, created risk or legal exposure, misused the Services, used them for spam/harassment/scraping/abuse/unlawful purposes, or created security, fraud, payment, or operational risk. Upon termination, your right to use the Services stops immediately; sections that by their nature should survive (ownership, payment obligations, disclaimers, limitation of liability, indemnification, dispute resolution, and general terms) will survive.

You may request account deletion through account settings or by contacting us; deletion is handled according to our Privacy Policy. Some information may be retained for limited purposes (legal compliance, payment records, security, fraud prevention, backup, dispute resolution, or enforcement). Deleting your account may not automatically cancel an active subscription managed by a third-party provider.

18. Dispute Resolution and Governing Law

These Terms are governed by the laws of the State of California, United States, without regard to conflict-of-law principles. Before filing a legal claim, you and ProfFinder agree to first try to resolve the dispute informally by contacting the other party (legal@proffinder.app). If a dispute cannot be resolved informally, it will be resolved in the state or federal courts located in California, unless applicable law requires otherwise, and you and ProfFinder agree to personal jurisdiction and venue in those courts. If you access ProfFinder from outside the United States, you are responsible for complying with your local laws.

19. Electronic Communications, Changes & Miscellaneous

By using ProfFinder, you agree to receive electronic communications (emails, in-product notices, account, billing, legal, and service messages), and that they satisfy any legal requirement that communications be in writing. You may unsubscribe from marketing emails, but we may still send service, account, security, billing, or legal notices.

We may update these Terms from time to time; if we make material changes, we may notify you by email, in-product notice, or by updating the “Last Updated” date. Your continued use after updated Terms become effective means you accept them. These Terms, together with our Privacy Policy, make up the entire agreement between you and ProfFinder. If any part is found invalid, the rest remains in effect; our failure to enforce any part is not a waiver. You may not assign these Terms without our permission; we may assign them as part of a merger, acquisition, reorganization, sale of assets, or by operation of law.
